My favorite sample organization system is an unorthodox one I found on Basenotes: ammo boxes—this particular model holds sample decants from 2-5ml. There are also smaller models better suited for smaller vials. Not the prettiest, but they work well at organizing all my samples.
I then use those little colored dot stickers to tag and label my samples according to season—yellow (summer), green (spring), red (fall), blue (winter). Big dots get name written on them and go on the bottle with some tape on top for good measure. Little dots go on the cap for quick seasonal reference.
Some basic removable labels from the office supply store, then. They may leave a little residue if you get them wet, but otherwise it shouldn't be hard to remove them from the plastic baseplate.

Attach these circle stickers to the bottom of the mini and write a number on that sticker. Use google sheets to maintain the library by having a column for the # and another column for current mini location (i.e. available, dave, matt, sally, etc).
